Purpose and Process for Reserving WSJ Events
The WSJ Guest Services Team offers facilities, event planning, and catering services (through WSJ Food Team) to support special events at the World Jamboree. Facilities include both enclosed air-conditioned and open-air spaces at Legacy Village and at World Point to accommodate up to 400 guests.
Events may be sponsored by any entity involving Jamboree participants, staff and/or guests. This includes NSO’s, WOSM and related organizations (WSB, WSF), WSJ Organizing Committee, and any scouting-related common interest organizations such as Rotary International, Wood Badge, Scouting Alumni, etc. Events ranging from meetings to casual or formal receptions to seated meals can be accommodated.
Planning services are available to arrange for catering, A/V, and other special needs. Events can be scheduled up to 48 hours prior to the event, however, early requests are encouraged, in order to ensure that facilities are available at the preferred date(s) and time(s). When requesting events, alternative dates are encouraged, in order to assist with efficient scheduling of the event spaces. Unless timing is critical, early requests may not be immediately confirmed, again to fairly and efficiently allocate available spaces.
Guest Services will assist with planning and scheduling events, beginning any time after February 1, 2019. Guest Services can be contacted through the WSJ staff organization in Irving, TX (Marie Rice — firstname.lastname@example.org ) or directly (Thijs Stoffer, Asst. Lead — email@example.com ).
Be advised that the following policies apply to all Jamboree facilities: 1. No outside food or beverage allowed. 2. Each reservation is time-limited, including set-up and take-down. 3. Facilities are limited by fire code. Please provide an estimate when booking. 4. The Jamboree is not responsible for your guest list and/or attendee management.
